Description of Position Executive - IBP (Institution Building and Procurement) Role Title - Executive - Institution Building & Procurement Reporting To - IBP Head Department - Institution Building & Procurement Location - HO Purpose: • Role holder will be responsible for assisting in planning, implementation, monitoring and improvement of Institution building and Milk procurement related systems and activities in the project area. Key Responsibilities: • To support in implementation of membership enrolment activities of the Company • Effectively communicate with members and field staff about the constitution, structure and functions of the Company and be in a position to provide appropriate answers to all queries on such matters. • Spearhead the membership drive (for new membership) as and when required • Analyse membership related data pertaining to continuation, classification, share capital etc and keep the appropriate authority informed of this periodically. If required keep the Company Secretary informed for appropriate actions. • Ensure timely display of updated status of membership, their class and subscribed share capital at the Milk Pooling Points. • Monitor the progress concerning membership, their participation in business (in terms of milk, CF and use of other services offered by the Company) and equity, take corrective steps where needed to achieve targets and provide regular feed back to the Company • Constitute Village Contact Group (VCG) in each village with the support of facilitators, provide need based training and monitor the frequency of VCG meetings conducted and participation/attendance. • Constitute Member Relations Group (MRG), provide need based training and facilitate MRG meetings and document the key issues discussed in the meetings, resolve/arrange to resolve issues and if required escalate to appropriate level for redressal and keep the Chief Executive updated regularly • Monitor field programmes related Producer Institution Building (Member Education Programmes, Women Education Programmes, Clean Milk Production programmes etc) to ensure implementation of the same as per design and targets and also arrange/undertake impact assessment of these programmes as a feedback to improve the same. • Monitor the effectiveness of the VCG and MRG and take corrective measures. • To take up special member drive campaigns in those villages identified with poor performance, in relation to Membership enrolment and capital formation, with support from facilitators. • To take up appropriate actions for grievance redressal based on the feedback received during VCG/MRG meetings (by attending all MRG meetings and at least one VCG meeting / month) or through phone calls etc • Organise programmes for School Children and Youth Forum with a view to build awareness about the MPC’s programmes and activities • Provide required inputs for preparation of Budget related to PIB activities and monitor the actual performance against the same. • Provide support to the Finance team in finalising the Fund Utilisation Report prepared for Funding agency for PIB activities. • Document success stories and arrange to share with relevant stakeholders • Stay updated about the latest developments in dairying and Institution Building. • To develop contents with support from NDDB DS if required for producer communication and other field related extension programmes. • To coordinate the arrangements for Annual General Meeting. • To support Chief Executive and IBP Head (and if required any committee) with necessary back up data on the matters pertaining to identification of members meeting criteria for positions for filling up vacancies on the board from Producer Category. • To coordinate with the IT team for periodical update of Member Data base Job Specifications Required (Mandatory):  Minimum – Bachelor’s Degree or equivalent.  Fluency in local language (read, write and speak), in addition to Hindi or English.  Proficient in data analysis, report writing and presentation skills  Should have a Motor cycle with a valid license Desired:  Experience in participatory training techniques  Experience in writing articles in newsletter , designing messages for producer communication  Experience in Dairy Sector
Qualification Bachelor’s Degree or equivalent
